We are looking for a Personal Assistant to join our dynamic Director Support team. Working alongside the Team Secretary, this role offers an exciting opportunity to provide dedicated administrative support for a handful of our eight company directors, including the CEO, whose needs vary from complex diary management to advanced secretarial support.
In addition, they will be leading the operational management of company board meetings, from scheduling through to documentation and task management. Reporting into the Head of Business Operations and acting as a role model to the Team Secretary, the successful candidate will be pivotal in steering the development of the Director Support function in a continually evolving organisation.
The ideal candidate will have exceptional organisation and time-management skills, will approach the role with upmost discretion, be an excellent communicator and have top-notch verbal and written skills. Advanced diary management is a must and an understanding of Microsoft Outlook, PowerPoint and Word are essential.

Director Support – Daily AssistanceCo-ordinate and maintain schedules, including complex diary management (appointment making, scheduling of meetings, avoiding and managing conflicts, as necessary). Ensure that comprehensive meeting documentation is in place when appropriate.Initiate, foster and maintain positive working relationships and professional liaison with external and internal stakeholders together with clients, customers and parent and sister company relationship management.Be first point of contact for assigned directors on all internal and external queries and primary point of escalation for wider group.Inbox management for assigned directors, as needed.Facilitating signing of contracts alongside Commercial Contracts Advisor, as necessary.Any other ad hoc duties (as requested by directors).
Board Meeting and Strategic SupportScheduling and preparing agendas for Board Meetings.Taking actions and minutes for Board Meetings.Task management for actions following Board Meetings.Filing and maintaining management meeting actions/ minutes as required (including those from monthly reviews with sister/parent Company).Draft and prepare correspondence for the directors as required, including company communications.Assisting with document production, reports and presentations as required.Support key management initiatives and working groups. Maintain and manage platforms for director communication and Board Meeting administration (adapting to suit the needs of the team).

Location and Travel
The role is based at our London office, but will require travel to client sites when needed.
